Recent Changes to New QuickBooks Online Payroll Subscriptions

In November 2025, automated taxes and forms became required for new QuickBooks Online Payroll subscriptions.

What This Change Means for New Subscriptions

Customers who sign up for QuickBooks Online Payroll after November 15, 2025, will have automated tax payments and filings turned on by default with no way to opt out. After you complete the tax setup of your new QuickBooks Online Payroll subscription, the program will:

  • calculate, pay, and file payroll taxes automatically
  • withdraw funds for payroll tax payments when payroll runs or tax liabilities increase
  • file and pay payroll taxes by the due date

Please note that while this change does not impact businesses whose payroll subscription began before November 15, 2025, Intuit may decide to apply it to all payroll subscriptions in the future.

Things to Know About This Service

While this feature may sound convenient, there are important risks and limitations to consider:

  • If you set up a payroll item incorrectly and need to make payroll liability adjustments to correct any withholding errors, you will have to call Intuit to request the adjustments. This is not something you can do yourself.
  • There is no review process before payroll returns are filed. If payroll returns are filed with errors, you will have to call Intuit to have the errors corrected and request that amended returns be filed.
  • Intuit will only file returns with an e-file option. If you have a return such as Wisconsin unemployment, where the only filing options are a file upload or manual entry on the taxing agency’s website, Intuit will not file that return. You will need to file it yourself.
  • Payroll returns are automatically filed on the due date, so there is time for you to review the returns and request changes up to the day before they’re filed.

These limitations are important to evaluate before relying entirely on automated payroll tax filings.

Customer Service Considerations

Additionally, if you do have issues with your payroll, there is no dedicated customer service number. You will either have to start a chat with Intuit, request a call back, or call the sales number on Intuit’s website and get routed to someone who can help.

Is This Option Right for Your Business?

If you have a very basic payroll and all your payroll returns can be e-filed, this may be a good option for your business. However, if your payroll is more complex, you may want to confirm with a payroll expert that your setup is correct before you create your first paychecks or use another payroll service provider.
